TextAdmin Privacy Policy
1. Who is responsible for what
TextAdmin is a business tool. Two different parties handle personal information and it matters which is which:
- The business using TextAdmin — the tree care, landscaping, home services or professional services company whose phone number customers text — decides what to do with its customers' enquiries. It is the controller of that information.
- Context Solutions Inc supplies the app and operates the message relay. We act as a processor on that business's behalf. We do not decide how enquiries are used and we do not use them for our own purposes.
If you are a customer who texted a business and want your information removed, contact that business. If you cannot reach them, contact us and we will pass the request on.
2. What the app handles
When someone texts a business's TextAdmin number, the app processes:
- The phone number they texted from, and the contents of their messages
- Their name, if they give it
- The service address they ask about: street address, city, postal code, and the coordinates derived from it
- What service they asked for, how urgent it appears, and a short summary of the request
- Derived values: a lead score, response times, and the status of the conversation
The app does not ask for or handle payment details, government identifiers, health information, or anything from the device's contacts, photos or location.
3. Where it is stored
On the business owner's phone, in the app's own storage, protected by iOS file protection and behind a Face ID / passcode lock.
In that business owner's personal iCloud account, so their leads survive a lost or replaced phone. This is their private iCloud database, not ours and not a shared one. Message contents, names, phone numbers, addresses and coordinates are stored as encrypted fields, which means Apple cannot read them either.
Two things are deliberately excluded from iCloud: the app's demo/sample conversations, which are fictional, and app settings.
4. Who else sees it

Our relay does not store message contents. It holds a message in memory only long enough to deliver it to the phone. The only things it writes to disk are the phone numbers that have opted out (so opt-outs survive a restart, as the law requires), a token identifying the business owner's device, and the business's own configuration. It never sends message contents to an AI provider.
Where replies are composed
TextAdmin can run in two modes, and this is the most important distinction in this policy:
- On-device: the AI model runs on the phone. No message content leaves the device to compose a reply.
- Remote generation: message content is sent to a third-party AI provider (currently Amazon Web Services' Bedrock service) to compose the reply, over an encrypted connection. The provider does not use it to train models.
The current release uses remote generation. The app's Settings screen always shows which mode is active, and the address of the provider.
5. What we collect about you
Nothing. We operate no analytics, no tracking, no advertising identifiers, and no third-party tracking software. We do not build profiles, and we do not sell or share information with anyone for advertising.
The app declares this formally in its privacy manifest: no tracking, no data collected by the developer. Customer enquiries are held by the business that received them, in that business's own storage and iCloud account, not by us.
6. How long it is kept
The business owner sets a retention period, two years by default, adjustable from one week to ten years. Conversations older than that are deleted automatically each time the app starts.
They can also delete everything at any time from Settings. That removes conversations, messages, addresses and scores from the phone and from their iCloud, on every device signed into their account.
7. Stopping messages
Reply STOP or UNSUBSCRIBE to any message and the number is suppressed immediately and permanently. You will receive one confirmation and then nothing further. The suppression is stored so that it survives restarts and outages, and it takes effect before any reply is composed. That record is a phone number and a timestamp, and nothing else.
Reply START to begin again, or HELP at any time for information about the service. HELP is answered even after you have opted out.
8. Security
- The app is locked behind Face ID or the device passcode.
- Message content, names, phone numbers and addresses are stored as encrypted fields in iCloud.
- Connections between the app and our relay use TLS with certificate pinning, so the connection cannot be intercepted even on a network that has installed its own certificates.
- Only a device that has enrolled with a cryptographic key can retrieve messages from the relay.
- Reports exported as CSV or PDF are generated when you share them and are never written to disk by the app.

No system is perfectly secure, and we do not claim otherwise.
9. Children
TextAdmin is a tool for businesses and is not directed at children.
10. Changes
If this policy changes materially we will update the date above and notify the businesses using TextAdmin. Continued use after a change means the updated policy applies.
